Terms and conditions of participation
in “the 16th Castle Meeting - New Trends on Paleo, Rock and Environmental Magnetism” held in Chęciny, Poland, 10-16th June, 2018
and  “Short course on rock magnetism applied to structural geology” held in Chęciny, Poland on  7 - 10 June 2018

§1. The Meeting and Short course are the scientific events. The substantial level of the debate depends on the Participants.

§2. The Meeting and Short course are events organized jointly by Institute of Geophysics Polish Academy of Sciences, Warsaw, Poland (IGF PAS) and Faculty of Geology, University of Warsaw (FG UW) and represented by Local Organizing Committee.

§3 The Local Organizing Committee Office (e-mail: regcastle2018@igf.edu.pl  phone: +48 22 6915765) is located in Warsaw, at Institute of Geophysics Polish Academy of Sciences, ul. Księcia Janusza 64, 01-452 Warszawa, Poland, Tel. +48 22 6915-950, Fax. +48 22 8776-722 (www.igf.edu.pl).

§4. The Participant declares her/his participation in the Meeting and/or Short course by registering in the conference system at castle2018.igf.edu.pl.

§5. The Participant confirms her/his participation in Meeting and/or Short course by incurring payment either with a payment card (PayU) or by bank transfer to the  account of University of Warsaw.

§6. The Meeting and short course currency is Polish zloty (PLN).

§7. Conference fees, presented at castle2018.igf.edu.pl, are as follows:

1 Includes: scientific program expenses including meeting materials, icebreaker & welcome dinner on Sunday 10th of June; full board from Monday to breakfast on Saturday; full day excursion on Wednesday 13th June; all social events included in the program; farewell dinner on Friday 15th of June; bus transfers (including bus transportation from Cracow to Chęciny on June 10th afternoon and back return on June 16th morning)

 The rooms are of tourist standard, with same facilities available; rooms in C buidling are slightly larger and air-conditioned.

Section 7.3. Short course fee

2This fee concerns students who have registered for the pre-Castle short-course. Following items are covered by the short course fee: full board & lodging from the evening of 7th June, 2018 to the afternoon of 10th of June, 2018; bus transfers from Cracow airport to Chęciny.


§8. 20th of April, 2018 is the deadline for registration and payment of conference fee.

§9. 10th of March, 2018 is the deadline for abstract submission. 20th of March, 2018 is the deadline for final acceptance of abstracts. We encourage Participants to submit their abstracts as early as possible.

§10. The conference fee may be made either with a payment card (PayU) or by bank transfer.

§11. Participants (or institutions) paying by bank transfer have to cover all the relevant bank charges. Standard PAYU charge is covered  by organizers.

§12. Exchange rates to PLN are applied on the day of the payment.

§13. An invoice will be issued by University of Warsaw upon request only; no later than 3 weeks after receiving the payment. Participant should request her/his invoice (and provide relevant data) following the steps given in the on-line registration form.

§14. To request a cancellation of participation in the symposium, or to make a change please send an e-mail to the Organizers at regcastle2018@igf.edu.pl

§15. Cancellations made until the 1th of May 2018, incur no charges and a full refund will be issued. Cancellations made on, and after, the 1th of May until 1th of June 2018 will be refunded at 80% of the conference fee. Cancellations requested on, and after, the 1th of June 2018, as well as non-attendance, will be charged in full and no refund will be made.

§16. In case of refunds mentioned in the paragraph §15 refunds will be transferred to the card or bank account from which the payment was received; and bank transfer charges and the exchange rate difference will be covered by the Participant (or institution which made a payment).

§17. All refunds will take place no later than three weeks after the end of the symposium.

§18. All complaints and reclamations will be considered by the Organizing Committee no later than four weeks from receipt of the complaint.

§19. All amendments and supplements to this document must be made in writing or otherwise they will be null and void.

§20. The provisions of the Civil Code and other laws will apply regarding issues not governed by this Document.

§21. According to the Act of 29.08.1997 on the protection of personal data (Journal of Law no 101, 926 with amendments), all personal data of the Participant provided on-line will be in the possession of the University of Warsaw, located in Warsaw, ul. Krakowskie Przedmieście 26/28, Tax ID 525-001-12-66, REGON 000001258 for the purpose of fulfilling this Contract. Providing this data is voluntary, but compulsory for the participation in the meeting and short course. Participants have the right to access and amend their personal data.
